This Privacy Policy explains how WashBase collects, uses, stores, and shares personal data when you use our website and pressure washing CRM. We use plain language so you can understand what happens to your data.

1. Who we are

WashBase provides CRM software for pressure washing businesses, including quotes, customer records, follow-ups, job information, scheduling, photos, and account billing. You can contact us about this policy at hello@getwashbase.com.

2. Information we collect

We collect account information such as your name, email address, password login data, access plan, billing status, and account settings. We also collect business information you add to WashBase, including customer names, phone numbers, email addresses, job addresses, quote details, job notes, photos, scheduling information, prices, and follow-up activity.

When you use the website or app, we may collect technical information such as device type, browser, IP address, pages viewed, actions taken, approximate location, and cookie or analytics identifiers.

3. Payment and billing data

Payments, subscriptions, trials, invoices, and card updates are handled by Stripe. We receive limited billing information from Stripe, such as customer ID, subscription ID, price ID, subscription status, trial end date, invoice/payment status, and billing contact details where needed. We do not store your full card number or full payment details.

Stripe may process personal data for payment processing, fraud prevention, compliance, and related services. Stripe's own privacy notices also apply when you enter payment details in Stripe Checkout or the Stripe customer portal.

4. How we use information

We use your information to provide and improve WashBase, create and manage your account, store your CRM data, generate quotes, track follow-ups, manage jobs, provide support, process billing, detect errors, prevent misuse, keep the service secure, and communicate with you about your account or important service updates.

5. Legal bases for processing

Where data protection law requires a legal basis, we process personal data because it is needed to provide the service you requested, because we have a legitimate interest in running and improving WashBase, because we need to meet legal or financial obligations, or because you have given consent for optional uses such as certain cookies or marketing.

6. Analytics and cookies

We use analytics tools, including Google Analytics and Vercel Analytics, to understand how people find and use WashBase, measure page views and CTA clicks, improve the mobile experience, diagnose errors, and measure performance. Google Analytics only loads after you accept analytics cookies in our cookie banner.

Analytics tools may collect technical information such as pages visited, approximate location, device and browser details, referral source, cookie identifiers, and interactions with signup or pricing buttons. Analytics data does not include full card details and is not intended to expose your customer records, quote contents, job notes, photos, or payment details.

7. Sharing information

We do not sell your personal data. We share information only where needed to run WashBase, including with service providers for hosting, databases, authentication, analytics, email, file storage, error monitoring, and payment processing. We may also share information if required by law, to protect rights and safety, or as part of a business transfer such as a merger or sale.

8. Your customer data

You are responsible for the customer and job information you enter into WashBase. You should only add personal data you are allowed to use for your business purposes. If your customers ask about data you hold in WashBase, you are responsible for responding to them unless the request relates directly to how WashBase operates.

9. Data retention

We keep account and CRM data while your account is active or while needed to provide the service, meet legal obligations, resolve disputes, prevent fraud, and maintain business records. You can request account deletion by contacting hello@getwashbase.com. Some billing, security, backup, and legal records may be kept for longer where required or reasonably necessary.

10. Security

We use reasonable technical and organisational measures to protect your data, including encrypted connections, access controls, and trusted infrastructure providers. No online service is completely secure, so you should keep your login details safe and maintain your own copies of business-critical information.

11. International processing

Some providers we use may process data outside your country. Where required, we rely on appropriate safeguards such as contractual data protection terms, recognised transfer mechanisms, or provider security and compliance commitments.

12. Your rights
